Right of access

You have a right to request access to personal data that we hold on you by making a Data Subject Access Request (“DSAR”)

DSARs are governed by the current UK data protection legislation.  We will endeavour to respond promptly and in any event within one month of the latest of the following:

  • our receipt of your written request; or
  • our receipt of any further information we may ask you to provide to enable us to comply with your request.  

If a DSAR is complex or multiple requests have been submitted, then we may extend the deadline for responding for up to a further two months.   If an extension is required, we will let you know within a month of receiving your request.

There will be no charge to make a DSAR, however we may charge a reasonable administrative fee if further copies of information that have been provided previously are requested, or if the request is “manifestly unfounded or excessive”.

Anyone can make a DSAR for information that we hold about them.  A DSAR should be made in writing and must contain enough information to enable SLC to locate the relevant records. 

SLC provides a Data Subject Access Request Form for individuals to use. This form is designed to help you give as much detail as possible to aid us in locating the information being requested.  Although it is not mandatory to use the form, its use could reduce or prevent the need for clarifications on the request and allow us to respond to your request as quickly as possible.

To make sure you get the information you have requested as quickly as possible, we will send it to you by email.  You will be sent the information securely to ensure only you can access it.  The file you are sent will also be searchable allowing you to easily locate the information you need.  You can request the information be issued to you by post but this may take longer for you to receive.  Make sure you give us an up to date postal or email address.  

Under the Equality Act 2010, reasonable adjustments will be made for those unable to submit a request in writing.  In certain circumstances, the requester has the right to receive their information verbally,  If you require a reasonable adjustment to be made, please contact the appropriate support team.  Contact information for customers is available at https://www.slc.co.uk/students-and-customers/contact-information-for-customers.
